Facility MetaData
Facility Metadata allows you to store and manage important site-specific details that support compliance, inspections, and reporting across PASS Tools. Metadata captures information that does not always fit into standard facility fields but is still critical for regulatory tracking and operational accuracy.
There are 5 Tabs of MetaData which include:
- Financial Responsibility
- Release Detection Methods
- Release Prevention Measures
- Emergency Contact Information
- Emergency Response Information
Each metadata set is configurable and can be updated as site conditions or regulations change.
Step 1.
To access the metadata, you will first need to be logged into your account. Once you are logged in, Click on "Facilities" in the Upper Navigation Bar.

Step 2.
Select the Facility that you need to update.

Step 3.
Click the blue "Edit Details" button under the facility dashboard.

Financial Responsibility:
Easily track and manage required documentation to help ensure your facility stays compliant with regulatory requirements. This information gives you confidence that financial responsibility is properly documented and readily available when needed.
Step 4.
Click on the "Financial Responsibility" tab.

Step 5.
To Edit the information, Click the "Edit View" tab to the right-hand side of the screen.

Step 6.
Select the Type of Financial Responsibility Method that suits your business. You can select more than one if needed.


Release Detection Methods:
Keeping Release Detection Methods up to date ensures your facility can quickly identify potential leaks, helping you stay compliant with regulations and protect your site, staff, and the environment. Accurate information also allows inspectors and service providers to support you more effectively and avoid unnecessary delays or violations. The EPA requires at least one approved release detection method for tanks and one approved release detection method for piping at each regulated facility. Both must be selected and kept up to date to remain compliant.
Step 6.
Select the "Release Detection Methods" tab.

Step 7.
Select the "Edit View" tab, then select the "Tank Release Detection Methods" and select the methods used at your facility.

As with the Financial Responsibility data, you can select more than one based on your facilities needs.

Step 8.
After you update the information for the Tank Release Detection Methods, Scroll down to also update the "Piping Release Detection".

You can select all methods that are used for the Piping Release Detection based on the Facility.

Release Prevention:
Keeping Release Prevention methods up to date in PASS Harmonics helps ensure your facility is actively protecting against spills and leaks before they occur. Accurate information supports regulatory compliance, reduces risk, and provides confidence that the right safeguards are in place to protect your site, people, and the environment.
Step 9.
Click the "Release Prevention" tab to edit these details.

Step 10.
Click the "Edit View" tab to update the Release Prevention data.

Step 11.
Update the Overfill Protection Methods and Corrosion Protection that is relative to your facility. If the tank is not made out of steel, you will use N/A for the Corrosion Protection.

Emergency Contact Information:
Keeping Emergency Contact Information up to date in PASS ensures the right people can be reached quickly during an incident, alarm, or compliance issue. Accurate contacts help reduce response time, limit risk, and support proper coordination during emergencies.
Step 12.
Click on the "Emergency Contact Information" tab.

Step 13.
Click the "Edit View" tab.

Enter the Emergency Contact Numbers to the local area.

Emergency Response Information:
Emergency Response Information is critical to ensure that first responders and facility personnel can act quickly and correctly during an incident such as a spill, fire, or release. Keeping this information accurate and up to date in PASS Harmonics helps protect lives, minimize environmental impact, and supports regulatory compliance by ensuring emergency contacts and procedures are immediately accessible.
Step 14.
Click the "Emergency Response Information" tab.

Step 15.
Click the "Edit View" button.

This is where you will enter all of the relative information needed to be updated.
