How to Send Check-Ins/Check-outs to 3rd Party Vendor

Creating check-ins and check-outs for third-party vendors at a convenience store or UST facilities is essential for maintaining accurate operational records and ensuring accountability. These entries help management teams track when vendors arrive and leave, verify that required services were completed, and maintain compliance with company policies or regulatory expectations. Proper documentation also improves communication between store staff and vendors, reduces the risk of missed tasks or misunderstandings, and provides a reliable audit trail if issues arise.


Overall, check-ins and check-outs help ensure smooth, transparent, and compliant vendor activity on-site. In this article, we will walk you through creating the check-in/check-out process. To create the check-in/check-out, you should be logged into your manager or administrator account.


Step 1.

As always, ensure that you are logged into your account using tools.passtesting.com. Once, you are logged in, Select "Facilities" from the Blue Navigation bar at the top of your screen.

Step 2.

Select the "Facility" that you need to create the check-in for.

Step 3.

Select "More" in the Black Navigation bar towards the upper right-hand corner of the screen. From the drop-down menu, select "Check-Ins".

Step 4.

Click the GREEN "Add Check-in" button.

Step 5.

Fill out the Title for the Check-In and fill out the notes with information for the check-in. In this instance, we are using "Weights & Measures". Once you fill out the Title and Notes, click the BLUE "Create Check in" button.

Step 6.

Once you create the Check-In, you can copy the URL to email it to the chosen vendor.


From this point, the Vendor will take over:


Step 7.

The Vendor will Open their email and click on the link you provided.

Step 8.

The Vendor will click on the box to the left of the calendar, and select the date and time, then they will click the blue "Save" button to save the Check-In for the location.

The Vendor will use the same link to Check-Out as they used to check in. They will follow the same steps to Check-Out.

Once the vendor has completed the Check-In and Check-Out process, you will see Completed on your end.
